CCTV Operation and Management Policy
Smile Digital Dental Clinic ('the clinic') sets out below how the video information recorded on our premises is used and managed.
1. Legal basis and purpose of installation
Under Article 25(1) of the Personal Information Protection Act, the clinic installs and operates video devices for the following purposes.
Facility safety and fire prevention
Crime prevention and evidence for the safety of patients and staff
Establishing the facts should a medical dispute arise
2. Number of units, location and field of view
3. Officer responsible and access rights
The following person is designated to protect the video information and to handle complaints relating to it.
4. Recording hours, retention, storage and handling
5. Handling method
We record and manage any use beyond the stated purpose, disclosure, destruction, or request for access
Once the retention period ends, footage is permanently deleted by a method that prevents recovery or replay
Printed stills are shredded or incinerated
6. Outsourcing of installation and management
The clinic does not outsource the installation or management of its video devices; we operate them directly. Should outsourcing occur, the processor and the task will be published in this policy.
7. How and where footage may be viewed
Method: contact the officer responsible in advance and view at the clinic
Place: clinic control room
8. Responding to a request for access
You may request access to, confirmation of, or deletion of footage at any time, limited to footage in which you yourself are clearly recorded.
We act within 10 days of receiving the request
We verify by identity document that the person requesting is you or your authorised representative
Where a third party's privacy would be affected, that part is blurred before release
If access cannot be granted, we notify you of the reason in writing
9. Security measures
Footage is kept in a control room fitted with a lock
Access rights are granted at differentiated levels as an administrative safeguard
To prevent tampering, we log the date and time of creation, the purpose of viewing, the viewer and the time of viewing
Further safeguards are maintained for the secure management of the footage
If this policy changes, we will publish the reason and the content of the change on our website seven days before it takes effect.
